A resolution is a short directive given by a leader to his or her subordinates that relates to the topic of the document. The resolution is a sign that the letter has been considered and sent for execution, therefore, it is placed on every document that has come to the organization.
Making a Resolution
One of the most important requisites that regulate the administrative activities of the head is a resolution. This is displayed on the document requiring a decision in the form of an order, signature, and transcript, as well as the date the decision was made.
There are various options for this attribute, which depend on the type of decision made about a particular document, and it, in turn, can be negative or positive.
Any resolutions on the document consist of three lines: the performer (executors), the order, the date, and the signature of the head. If several employees are involved in the execution of the order, the name of the responsible executor must be indicated first.
His tasks will include direct control over the execution of the order by other appointed persons, as well as a report on the work done.
If necessary, on this occasion, the responsible employee can even organize a meeting, during which the procedure for the execution of instructions will be determined.
The instruction line should briefly reflect the essence of the instruction under this document. As a rule, the order itself begins with a verb that displays the main action. For example, “Prepare a response…Make proposals…Participate…Prepare a comprehensive program…Contact the sender and agree on a date for the visit. Review and report your opinion…Consult with…department…”
If this is required, the order may be supplemented with a deadline for execution. In this case, it is not recommended to indicate the time frame in the format of the number of days or weeks, but it is better to indicate the date by which the order must be executed.
Appointment resolution
A document with a standard due date is a type of document that is often entered. It should be noted that many leaders of private companies (especially small ones) do not like to issue administrative documents for any reason. In this case, the verbal orders of the management not only become difficult to execute but can also be completely forgotten by employees. Such negligence very often causes many problems and delays in the execution of orders.
In addition, control over the execution of documents becomes impossible for one simple reason – the absence of administrative documents. Therefore, to avoid such problems, we recommend that you show your manager examples of resolutions on documents.
Function resolution
As mentioned above, resolutions are put on documents if it is necessary to issue some kind of order with respect to them. At the same time, this requirement should be as close as possible to the form of the administrative document. He must, concisely, and succinctly give instructions on further actions about this business paper.
It should be understood that the presence of a resolution of the head on the documents (examples are given below) is a full-fledged reason for the business paper to be put under the control of execution. In this case, the registration form indicates the terms and executors listed in the resolution, and the number of the business paper on which the mentioned requisite is affixed is used as the number.
